Two free staff, one room: the scheduling problem hiding in plain sight

Avoid double bookings when appointments need a room, vehicle, machine or other shared resource as well as an available person.

Your instructors are both free at 2pm. Your only pottery kiln is not. The staff diary says yes; the studio says no.

Scheduling shared equipment, rooms and vehicles means looking at every thing the booking uses, not just the person who delivers it.

List the bottlenecks

Walk through each service and ask what would stop a second customer from booking at the same time. It may be the treatment room, accessible vehicle, photography studio, kiln or a particular machine. Include preparation and cleaning time, not only the minutes spent with the customer.

For a photo studio session, the photographer and studio must both be free. If the same lighting kit is shared with a second studio, that kit is a third constraint. You do not need to track every chair in the building; track what actually limits the promise.

Decide whether the resource is interchangeable

Two identical rooms can sometimes serve the same appointment. A specialised room and an ordinary room cannot. The same applies to staff skills, vehicles and equipment.

Write down which combinations work. “Any available room” is fine only if every room has the space, access and equipment the service needs. If customers choose a specific space, keep that choice with the booking.

BookingMust be available together
TreatmentQualified practitioner, suitable room, reset time
Driving lessonInstructor and roadworthy training vehicle
Small-group workshopInstructor, room, equipment and enough places

Test the awkward overlaps

Before opening a new service for booking, try two customers choosing the same time with different staff. Try back-to-back bookings that leave no setup gap. Try a cancellation that frees one resource but not another. Those tests reveal whether your availability rules match the real operation.

If a booking needs several participants rather than one private slot, see the class-capacity guide. If the constraint is mainly the time to reset a room, the buffer-time guide helps set that gap.

The useful question is not “Who is free?” It is “Can we deliver this exact booking with everything it needs?”
