One customer asks to move an appointment by half an hour. By the time you've checked the drive and called the next customer, you've spent half an hour moving it.

Rescheduling works better when you check the whole booking before offering a new time. A gap in one person's calendar isn't enough if the job also needs travel, a room or another member of staff.

Check what the appointment actually uses

Before moving anything, identify the service, duration, staff, location and resources involved.

A mobile appointment changes the travel before and after it. A salon service may need a particular stylist and treatment room. A hire booking may also affect collection, return and cleaning.

Check the payment and preparation status. Materials may already be ordered. A reminder might be due. Another person may be meeting the customer at the old time.

This sounds obvious until you move the job and leave its second person behind.

Offer a small number of workable options

Two or three specific times usually make the conversation easier than "when are you free?"

For example:

I can move your appointment to Wednesday at 10am or Friday at 1pm. Both allow the full 90 minutes. Which works for you?

Don't offer a shorter gap and hope the job develops a sense of urgency.

For mobile work, consider alternatives on days you're already in the customer's area. Explain that naturally: "We're in your suburb on Thursday, so I can offer 11am then."

If the customer needs something you can't accommodate, say so and discuss the next realistic option.

Keep one booking record while you agree the new time

If the customer can still attend the original time, keep it while you discuss alternatives. If they've clearly cancelled it, record that decision and release the space under your booking terms. You don't need to keep an unusable appointment blocking the diary.

Preserve the original record and messages either way. Deleting a booking and rebuilding it can separate its history from the payment and leave everyone unsure which time was agreed.

Use the reschedule function where available so the booking remains one record. Once the customer agrees, make the change and check that the old time is free and the new time is reserved.

If a fee or price difference applies, explain it before confirming the change. Don't leave the customer to discover the price difference in the updated confirmation.

Be careful with repeating work

Moving this week's clean is different from moving every future clean.

Ask explicitly:

Is this change just for this visit, or would you like future visits on the new day too?

Send one clear confirmation

Use a message that names the replacement time:

Your appointment has moved from Tuesday 12 May at 9am to Thursday 14 May at 11am. The service and price are unchanged. We'll come to the same address.

Those dates are illustrative. Replace them with the actual booking details, including the year if it would prevent ambiguity.

Where enabled, check that your system's notifications reflect the new schedule. Tell any assigned staff and review preparation that depends on the date.

Check the day again

Look at the bookings either side. Are the travel legs still possible? Has the move created an unusable gap? Is anyone now working beyond their hours?
