Rescheduling and cancelling

Moving a booking to a new time, calling one off, and recording a no-show.

Plans change. Moving or cancelling a booking is done from the booking itself.

Moving a booking

Open the booking and edit its schedule. Pick the new date and time, and save. The customer sees the new time wherever they look the booking up, and if you have the relevant notification switched on they will be told about the change.

On the Team schedule view you can also drag a booking block to a new time or a different lane, then commit the change when the day looks right. That is usually faster when you are reshuffling several jobs at once.

Moving one of a repeating booking

If the booking is part of a standing arrangement, you will be asked what the change applies to:

  • Only this booking moves this one visit and leaves the rest of the run alone.
  • This booking and all future ones moves every later visit to the new day and time as well.

Finished, paid and cancelled bookings are never moved by this. They stay exactly where they are, because they are history.

Cancelling

Cancel from the booking's actions menu. The booking stays in your records marked as cancelled, keeping every stage it had reached, so you can look back later and see how far it got.

Cancelling a repeating booking asks the same question. Cancelling this and all future ones stops the repeat and cancels the visits still ahead. Anything already finished or paid is left as it is.

Note: Cancelling does not automatically refund a payment. If money has changed hands, handle the refund from the booking's payments card.

No-shows

If the customer simply did not turn up, mark it as a no-show rather than cancelling it.

The distinction matters. A cancellation is work that was called off, usually with notice. A no-show is a slot you held, kept free, and lost. Recording them separately means you can tell later how much a particular customer is actually costing you.
