Workflows

A workflow is how a booking runs: the steps it goes through, from requested to closed, and the messages Bookables sends on the way. Each service uses one. Open Settings and choose Workflows to see yours.

How a booking moves

Each workflow reads as a line of steps. A typical one:

  • Requested until you answer. Waiting for you to accept or decline. Holds no time.
  • Confirmed when the booking is accepted. Holds the time and what it needs.
  • In progress once it starts. Still holds the time.
  • Done once it has happened. Anything still owed shows on the booking.
  • Closed when nothing is outstanding.

A booking can also end as Cancelled, No-show or Not accepted. For cancellations and no-shows, the cancellation terms agreed at booking decide any charge.

Some steps have a check, like Needs the details you ask for. A booking can't move on until the check passes.

Messages

Each step can send a message, like Send the confirmation, Send a reminder, Tell the customer you are on the way or Send the invoice. Each says when it goes, like The evening before.

Change a message

  1. Open Settings, then Workflows

    Choose a workflow.

  2. Find the message

    Messages sit under the step that sends them.

  3. Switch it on or off, or change when it goes

    Your change saves straight away and applies to the services using this workflow.

Steps and checks can't be changed here yet. Messages and reminder times can.

Which services use it

At the bottom of each workflow, Used by lists its services. From a service in Settings, under Services, choose Open workflow to jump to the one it uses.

Versions

Each change saves a new version, like Version 2. A booking's history records which version ran each step.
