A mobile shredding truck working an office building in the UK

Smart scheduling

The bay shuts at three, so work around it

Bay hours, the goods lift cut-off and the name on the security desk sit on the site record, so the round is planned around the building.

Console swap

Two console rounds and a purge, on one board.

A twenty-minute job and a half-day clear-out are the same Monday. One board holds both, so a purge is never promised into an afternoon that was already spoken for.

The purge quoted at three depths.

Nobody knows what is in a strong room until it is opened. Quote the boxes flagged, the whole room, or the room and the offsite store.

  • Bins, time and access on their own lines

They can see what the volume cost and what the out-of-hours access cost, so a query concerns one line rather than the whole figure.

  • Signed on their phone, booked on your board

They accept and sign online and the collection day lands in the diary, with the bay notes already attached to it.

  • Sent before you leave the loading bay

The quote goes from the phone while you are still in the basement, which tends to be before anyone rings round for a second one.

  • Access and witnessing priced as options · Pro

Out-of-hours access, an escort from the security desk, drives and tapes taken with the paper, destruction witnessed at the vehicle. Each carries its own price and moves the total when it is ticked.

The goods lift is out on the ninth.

Building management rings at eight. Move the collection to the next day the bay is free and the client hears it before they clear a morning.

  • Drag it to the next open bay

Pick the job up and drop it on a day that works. The board rebuilds around it and the collection keeps its notes and its history.

  • The reminder follows the job

Move the round and the reminder moves with it, so nobody is stood at a locked basement door on the old date.

  • Free on every plan

Shifting your own work around your own week was never going to be the paid part.

Built for your trade

Built for the collections you actually run

Office console rounds

Locked consoles beside the printers, emptied into the vehicle on site. A bin count, a published price and twenty minutes on the floor.

Strong room purges before a move

Twenty years of archive boxes going at once because the lease is up. Quoted after a look, with bins and access hours on separate lines.

Year end store room clear-outs

The spring rush when every office empties the cupboard at once. Regulars rebook the same week each year off their own client card.

GP surgery and clinic destruction

Practices working to a retention schedule who care about the paperwork more than the price. Every collection stays filed to the practice.

Solicitors file destruction

Closed matters coming out of the archive on a rota. Booked as a standing job so the boxes stop stacking up along the corridor.

Managing agent basement clear-outs

A store cupboard nobody has opened since the last agent. Quoted with the lift booking and the out-of-hours access priced in.

Hard drive and tape destruction

Old laptops and backup media going with the paper. On the quote as its own line so the client can see what was actually covered.

Probate and home office bins

One bin at a house after probate. Small, one-off, booked online and paid by card before the tailgate is back up.

Uniform and branded stock destruction

Rebranded shirts and old signage that cannot go in a skip. Priced as an option on the round rather than quoted from scratch.

Regular sack and bin collections

Confidential waste sacks picked up on the same day every month. Set as a repeating job so the round builds itself.

We are clearing the store room before the move, maybe fifteen boxes plus the two consoles on our floor. The office is in Ancoats.

Published prices and quoted purges in one list.

A four-bin round taken off your page and a clear-out you priced after a look sit in the same list, with what it is, when it is and what it is worth on the row.

The record behind the certificate.

Nobody buys shredding, they buy evidence that a box of files is gone. Every collection stays on the client with its date and what went with you.

  • Filed against the client, not the job sheet

Rounds, purges and bin counts build up on one card, so an audit question in eighteen months is answered from a record rather than a memory.

  • The site history travels with the address

What was collected there last quarter is on the same card as the access hours, which is what a new driver reads before turning up.

  • It is why they stop shopping the price

A client who can answer their own auditor from your history has a reason not to move for a cheaper quote next year.

Pro

Reception books it, accounts settles it.

Whoever arranged the collection rarely holds the card. Bill the accounts contact without a purchase order going round three desks first.

  • Cash and transfer cost nothing

Mark the collection paid when the transfer arrives. Free on every plan, and that is not going to change.

  • Cards come with Pro

Send a card link to the accounts inbox while the vehicle is still on the bay, and the receipt sees itself out.

  • Split a purge across two requests

Part at booking, the balance once the room is empty. Staged requests come with Pro and go out after the collection is booked.

The buildings a vehicle actually fits.

A basement with low headroom is not a job you want. Draw what you cover and the form stops accepting work you would hand straight back.

  • Your patch, your call

Mark out the areas the vehicle works. An address beyond them is told at the form rather than a fortnight later on the phone.

  • Different areas for different work

A console round can cover the whole city while a single domestic bin is limited to the areas on the way back to the depot.

  • Same rate right across it

Inside your area the price is the price. Bookables never quietly adds anything because the drive turned out to be longer.

One app for the whole job

Everything you need to run your document shredding business.

Scheduling

Console rounds, purges and out-of-hours jobs sit on one board, so a two-hour city collection never lands on a morning already promised away.

Bookings

One record per collection, from the first call about a strong room through the quote and the round to the bin count signed off at the bay.

Online booking

Publish the rounds you can price unseen, a console round or a single bin, and reception takes the next real gap without ringing the office.

Inbox

The photo of the store room, the site induction form and the quote you sent all sit on the job rather than across two phones and an inbox.

Estimates

Quote a purge the way you price it: bins, time on site and building access, each on its own line, with the total under them and a signature.

Customers

Buildings come back every quarter. Every round, purge and bin count for that client sits on one card, which is the answer when audit asks.

Territories

Draw what the vehicle covers. A single bin an hour up the motorway should never be able to book itself into a day of city console rounds.

Team

Add your drivers, set who holds the clearance for the out-of-hours rounds, and give the office the job list without the money screens.

Payments

Cash and bank transfer you record by hand are free on any plan. Card payments come with Pro, and the money lands in your account not ours.

Common questions.

They can. The count sits on the service as an option group: a four-bin round, an eight-bin round, a full vehicle. Each option carries its own price and adjusts the total when it is chosen, so the volume is agreed rather than discovered.

Take it as an enquiry and quote it once you have seen it. Bins, time on site and building access go out as separate lines, and a signature on their phone puts the collection on your board with the bay notes attached.

On the site, against the client, entered once. Every subsequent collection at that address opens with them, which is what allows somebody other than you to be sent.

Take the booking from whoever rang, then send the payment request to the accounts contact on the client record. Cash and bank transfer you record by hand are free; card links come with Pro and the receipt sees itself out.

Every collection stays filed against the client with its date, what was taken and what it cost. Bookables does not issue your certificate, but under the Data Protection Act 2018 the client has a record rather than a recollection.

Set the areas your vehicle covers per service. A one-bin domestic job can be limited to the areas you already drive through, while the console rounds cover the whole city.
