Booking stages

Every booking is at one stage, shown as a label beside its reference, like Confirmed. It moves on when you press the button at the top of the booking, like Check in or On site, or by itself when nothing is left to do. The stages mean the same in every business; only some names change with your kind of work.

The stages

  • Requested: the customer asked for a time. It holds nothing until you accept.
  • Confirmed: the time is booked and held for them.
  • In progress: it has started.
  • Fulfilled: it has happened.
  • Closed: it's done and nothing is owed. A booking closes by itself once its balance is paid.

A booking can also end as Cancelled or No-show. A request that never became a booking reads Declined, Expired or Withdrawn. It held nothing, and nothing is owed.

Words for your kind of business

Your team sees words that suit the work. Customers always see the standard names.

  • Visits at the customer's address: On site and Done.
  • Hire: Out and Returned.
  • Spaces: In use and Finished.
  • Classes: Attended for a place that was used.
  • Appointments keep the standard names.

Move a booking on

The main button at the top of a booking is always the next step:

  • Check in when a customer arrives for an appointment, a space or a class.
  • On my way, then On site and Done for a visit.
  • Hand over, then Returned for a hire.
  • Mark attended after a class.

When the time has passed and a booking wasn't moved on, it shows under Needs you as "still open".

How each booking runs

Each service follows a workflow: which stages it uses, when reminders go and any steps along the way. See them in Settings, then Workflows. Each workflow lists what happens at each stage and which services use it. Workflows are set by Bookables for each kind of business and can't be edited yet.
