Customer records

Every customer has one record. Open Customers and choose a name: their record opens beside the list, with their bookings, what they owe, their household and everything that has happened.

What's on a record

The record has six sections down the side:

  • Overview: their visits, what they've spent, what they owe and their no-shows, then their next booking and what's coming up.
  • Bookings: every booking, coming up and past.
  • Money: what they owe, what's overdue and the payments you've logged. Open Money takes you to the full list.
  • Household: their pets, people, places and vehicles, with your private notes.
  • Details: their name, email, phone, where they came from and whether they have a Bookables login.
  • History: every change to the record and who made it.

Each record has its own link, so you can copy it into a message to your team.

Add a customer

Customers are added for you when they book online. To add someone yourself:

  1. Open Customers

    Choose Add customer at the top of the list.

  2. Fill in their name and how to reach them

    A first name and an email or a phone number are enough. Businesses that travel to customers can add an address too.

  3. Choose Add customer

    Their record is ready to book.

Find someone

Search by name, email or phone at the top of the list. The All customers menu filters the list to Due back or Owes money.

Staff alerts and do not serve

On Details, choose Edit and add a Staff alert, like "Key in the safe, dog in the garden". Your team sees it at the top of their record.

To stop someone booking online, open the More menu (the three dots) and choose Do not serve. Add a short reason; only your team sees it. Their existing bookings stay as they are. Choose Serve again to lift it.

Merge duplicates

When two records look like the same person, the record shows Possible duplicate. Choose Compare and merge, pick which name, email and phone to keep, then Merge records. Bookings, notes and history from both are kept.

Archive a customer

Choose Archive from the More menu. Their bookings and history stay. Choose Restore to bring them back.
